What we process and why
On the assessment booking form we ask for your name, company, email address and phone number, and optionally the address of your current website and a short description of your situation. We use these details only to arrange the meeting and prepare for it. The legal basis is taking steps at your request before entering into a contract.
Messages you send by email are processed in order to reply and for possible collaboration.
If you allow measurement, Google Analytics processes information about how the site is used – for example the pages viewed, the device and browser type and an approximate location – in statistical form. The legal basis is your consent, which you can withdraw at any time.
Guide, phone contact and website assessment (Finnish service)
When you order our Finnish-language guide, we process your e-mail address, your phone number and your company's website address. All three are required on the form. We use the e-mail address to send the guide and its download link, at your request. We also store the time, the page you ordered from, any campaign tag and the text shown on the form.
Geometrics Lab may contact you by phone about developing your company's website and about our services. Giving a number is neither consent nor a request for a call. The basis is our legitimate interest in offering our services to companies that have shown interest in developing their website by ordering the guide. We use the website address to prepare for the call and to understand who finds the guide useful. At the start of a call we say who is calling, from which company and why, and that you can refuse marketing calls.
You can object to phone contact at any time: via the link in the delivery e-mail, during the call or by writing to studio@geometricslab.com. The objection is absolute and stays in force if you order the guide again. To honour it we keep a hashed identifier of your e-mail address and number.
We do not send marketing e-mails to guide subscribers. If you have earlier signed up separately for e-mails, you can unsubscribe from the link in every message.
For a website assessment we ask for the website address, your main goal, timing, preferred reply method, your e-mail address and optionally your name; a phone number only if you want the answer by phone. We process this to prepare the assessment and discuss it with you, at your request.
Download links are time-limited and contain no personal data. We do not pass your data to advertising platforms or other companies. The data is stored on the website's server in Finland, in a directory that is not reachable from the web. Assessment and call requests are notified to Geometrics Lab by e-mail. Guide orders only appear in a weekday summary that contains counts, not contact details.
Processors and transfers
The site is hosted by Domainhotelli Oy on servers in Finland. For every page request the server records in its server log the IP address, the time, the requested address, the response status, the referring page and the browser identifier. The logs are used for server maintenance and security; the basis is our legitimate interest in keeping the site working and secure. The retention of the server logs and of the server backups is set by the hosting provider. Email is processed in Google Workspace (Google Ireland Limited). With your consent, visitor measurement uses Google Tag Manager and Google Analytics 4 (Google Ireland Limited). Google may also process measurement data outside the EU; transfers rely on the EU–US Data Privacy Framework and the European Commission's standard contractual clauses under Google's terms. No booking tool is in use: the meeting time is agreed by email.
Cookies and measurement
This site does not load visitor measurement or set measurement cookies without your consent. When you arrive, you can allow measurement or continue with necessary functions only; both choices are equally easy.
Your choice is stored in the site's own cookie gl-consent (valid for 12 months). It holds only the choice, no personal data, and is necessary so that the choice stays in force.
If you allow measurement, the site loads Google Tag Manager and Google Analytics 4, which set the cookies _ga and _ga_* (valid for up to 2 years) for statistics on visitor numbers and site usage. Without consent they are not loaded and the site sends no data to Google.
You can change or withdraw your choice at any time from the Cookie settings link at the bottom of the page. Withdrawing removes the measurement cookies and stops measurement.
Retention
Guide orders are deleted 12 months after the latest order unless a conversation, a meeting or an assessment request has followed. Assessment and call requests and related correspondence are kept for 24 months after the last contact unless a customer relationship follows. A contact means an order, a request, or a conversation or meeting that took place; internal handling of a request does not extend the period. The data is deleted from the register on the server automatically when the period ends. We review the e-mail notifications of requests and the related e-mails once a month and delete those whose period has ended, so they may remain for up to about a month after the period ends. Deleted data may remain in the server's backups until they are replaced by newer ones. Records of earlier e-mail consent are kept for three years after the messages end. Hashed identifiers for phone and e-mail objections are kept for as long as we do marketing.
The server records orders, sends, objections and administrator actions in an event log under an identifier, without e-mail addresses or phone numbers. Ordinary events are deleted after 13 months. Records of the text shown on the form, e-mail consent, objections and erasure are deleted after three years. Technical error and maintenance logs are deleted after 90 days; form contents are never written to them, and e-mail addresses and phone numbers are masked when a line is written.
Booking form details are kept until the meeting has been held and any follow-up agreed. Accounting records are kept for the period required by law.
